Director of Campus Operations - Miami

We’re growing! We are looking for experienced director of campus operations for all grade spans at existing and founding schools.   

Here’s what you need to know:       
The Director of Campus Operations (DCO) is the operations leader of the schools they support, owning all things non-instructional so that the school leader can focus on driving student achievement. DCOs are responsible for ensuring that the experiences of our students and families are world class and that our teachers and staff are setup to focus exclusively on instruction. They are to provide the highest quality management of our facilities, technology, nutrition, finances and meet or exceed standards for all non-instructional matters that are required to run a school.
Must Haves:
  • A passion for the mission, vision, and values of KIPP New Jersey | KIPP Miami
  • Bachelor’s degree from an accredited institution
  • 2+ years of management experience
  • 4 to 10 years of work experience, preferably in business or operations management
  • An interest in education or the nonprofit sector
  • A history of building relationships and driving results
  • Experience with budget or financial management or oversight
  • Flexibility – able to solve problems in a complex, at times ambiguous, and fast-moving environment
  • Ability to create order from chaos and create and continuously improve systems and procedures to drive efficiency
  • Ability to give and receive feedback
  • Proficiency in Microsoft Office (especially Excel)
  • Strong interpersonal and communication skills
Nice to Haves:
  • Previous experience in an educational or non-profit setting
  • Proficiency in Spanish and/or Creole
Here’s what you’ll be doing:
Performance Management
  • ​​​​Directly manages the school’s operations team, including the school operations manager, academic operations manager and possibly other personnel depending on the structure and needs of the campus
Recruitment and Enrollment
  • Initiates and manages student recruitment efforts for school to achieve 1.5 times the number of applications for open seat
  • Manages social media content and website for schools 
  • Ensures 100% enrollment on the first day of school and backfills to school’s enrollment targets over the course of the year
  • Ensures 100% completion of registration documents by the first day of school
  • Implement systems and trainings for school-based staff to support recruitment and enrollment efforts 
  • Manages family communication and family engagement events (minimum of 1 summer event in addition to back to school nights) 
  • Works with the enrollment team on coordinating/planning/executing parent information sessions, school tours and canvassing local neighborhood 
  • Reviews enrollment levels weekly and reaches out to Enrollment for requests of new students to fill seats
  • Manages demographic info in Power School, e.g., lunch status, contact Info or student Schedules, and is able to run basic reports for distribution to SLs, staff or families
  • Produces basic data reports such as student attendance by grade on a daily basis 
  • Owns and drives attendance systems at school to ensure ADA goals are met
  • Ensures that 100% of absent students receive a call from the main office on a daily basis 
  • Oversees the attendance intervention process to make sure that attendance concerns are addressed early and often
  • Coordinates with student support team and school leadership to address chronic absenteeism
  • Facilitates weekly attendance meetings with leadership team members
Finance and Purchasing
  • Owns and manages the school’s budget
  • Conducts monthly financial review meetings with SL highlighting budget to actual performance year to date and a forecast for the year
  • Makes budget management recommendations to SL so that resources are allocated according to the school’s mission and vision
  • Manages all aspects of day-to-day financial operations in compliance with fiscal policies & procedures
Vendor Management
  • Manages relationship with service providers: Food & Nutrition, Transportation, Tech Support, Facilities/ Custodial, Print Services, After School  
  • Monitors daily operations with each service provider to ensure that service level is being met 
  • Point person for co-location meetings 
Emergency & Safety Planning
  • Ensures that the school meets safety requirements 
  • Ensures that: every room has an exit plan and emergency binder with student class lists, the school has an exit route for drills, and the school has a reliable safety plan documented
  • Makes staff aware of relevant emergency protocols and oversees that an appropriate number of staff members are trained in safety procedures (i.e. CPR) and that reports are filed for any accidents/incident
  • Ensures that the appropriate number of safety drills are conducted each year
Routines and Procedures
  • Collaborates with the school leadership team to design and ensures that arrival, dismissal, lunch and whole school transitions run smoothly 
  • Ensures school wide operational systems and procedures run smoothly and hold teams accountable in partnership with operations and school leadership teams
  • Develops, implements and monitor visitor system and front office procedures
  • Ensures building is bright, clean, welcoming and well-maintaine
  • Develops maintenance plan and cap-ex needs for building in consultation with Director of Facilities
  • Ensures safety systems are up-to-date and well-functioning
  • Supports major school construction projects at the building including providing day-to-day on-site oversight of projects
  • Coordinates school moves and long-term space planning
  • Manages custodial staff on any and all issues, ensuring the facility in general looks the best it can 
  • Secures quotes from approved vendors on facilities projects and secures approval from MDO or DoF for projects that exceed $50,000 
  • Assists with implementation of all projects; assumes direct  responsibility for projects up to $100,000; coordinates with vendors for all projects
  • Ensures school-wide compliance with health and safety laws, teacher certification and fingerprinting, city and state education mandates, and all federal and state workplace regulations
  • Monitors charter tools submissions
  • Monitors progress towards clean audits during compliance reviews
  • Attends district principal meetings 
  • Owns and manages other school-based systems as requested by the school leader
